SCHOOL COMMUNICATIONS

Fantasy Dance School primarily communicates via email. Please add info@fantasydance.us to your contacts to ensure delivery of important updates. We also share key announcements on Facebook and Instagram. Follow Fantasy Dance School to stay informed. 



PLACEMENT POLICY

Class Levels: If your student has experience but you are unsure of his/her level, please call us to schedule a tryout class. If a teacher determines that a student is at an incorrect level at the start of the session, the student may be transferred to the appropriate class at that time.

Fantasy Dance Troupe (FDTroupe) and Elite Competition Teams: Class placement for FDTroupe and Elite Competition Teams is determined by style and level and is based solely on auditions.



CLASS SIZE POLICY

  • Dance Classes:

Ages 3-5: The average class size is 8 students.

Ages 6 and up: The average class size is 10 students.

  • Gymnastics Classes:

All ages have an average class size of 8 students.

  • Art Classes:

All ages have an average class size of 6-8 students.

  • Minimum Enrollment Requirement:

We must have a minimum of 6 registered students to hold a class. If this minimum is not met, the class may be rescheduled or canceled.



ATTENDANCE POLICY

Fantasy Dance School is committed to providing a high-quality training experience. Consistent attendance is essential for your child’s progress and the success of the class as a whole.

Planned Absences: If your child will be absent, please email info@fantasydance.us in advance.

  • To retain your child’s spot, monthly tuition must still be paid during the absence.

  • We offer up to 4 make-up classes per month, based on availability.

  • Tuition will only be paused if the student is officially dropped from the class.

  • If tuition is not paid, the student’s spot is no longer guaranteed and may be filled. A different class may be offered based on current availability.

  • No additional registration fee will be charged if a student returns within the same school year, as the initial fee holds their enrollment for the year.

 

Late Arrivals: Students arriving more than 15 minutes late may not be allowed to participate in class due to safety concerns. Late students will be asked to observe and take notes. This policy will be strictly enforced.

 

Extended Absences (Illness/Injury): If your child is absent for more than two weeks due to illness or injury, a doctor’s note is required. Please coordinate with the FDS office regarding their return to ensure a smooth reintegration into class.

Participation Requirement: Consistent attendance and active participation are essential. Repeated unexcused absences or tardiness may lead to a re-evaluation of your child’s placement in the program.

MAKE-UP POLICY

Fantasy Dance School offers up to 4 make-up classes per month for missed classes.

  • All make-up classes must be scheduled through the FDS office.

  • No refunds will be given for missed classes, regardless of the reason.

  • Participation in make-up classes is subject to availability and must be used within the same month the classes were missed.

Important: There are no make-up classes for students enrolled in Fantasy Dance Troupe (FDTroupe) or Elite Competition Teams. These programs follow a strict attendance policy due to their performance and rehearsal requirements. 

Your child’s consistent attendance reflects their commitment and plays a key role in their individual progress and class cohesion.



SCHOOL WITHDRAWAL

To withdraw a student from a class or from Fantasy Dance School entirely, a written Drop Notice must be emailed to info@fantasydance.us by the 25th of the month to avoid being charged for the following month’s tuition.

  • No refunds will be issued for tuition already paid.

  • Families may withdraw at any time during the school year, but should note that all tuition and fees are non-refundable and non-transferable.

Timely communication ensures smooth processing and accurate billing. Thank you for your cooperation.



RESCHEDULING, MODIFYING, AND CANCELING CLASSES

Fantasy Dance School reserves the right to reschedule, modify, or cancel classes as necessary due to enrollment levels, staffing changes, or other operational needs.

  • Teachers may be reassigned or replaced at the discretion of the school.

  • If a class is changed or canceled, alternative class options will be offered to enrolled students.

  • FDS also reserves the right to transition classes to an online platform when in-person instruction is not possible, including but not limited to teacher absence, inclement weather, or public health advisories (e.g., COVID-19).

We appreciate your understanding and flexibility as we maintain a high standard of instruction under all circumstances.

REHEARSAL POLICY FOR ALL PERFORMING CLASSES

Attendance Responsibility: Families are responsible for knowing the rehearsal schedule. Fantasy Dance School (FDS) communicates all rehearsal information via email—please ensure your contact information is up to date and check communications regularly.

Mandatory Attendance: Students are required to attend all scheduled rehearsals for the classes in which they are performing. Consistent participation is essential to the success of the performance and the integrity of the group.

Absence Policy: Students who miss two or more rehearsals may be removed from the performance at the discretion of the Artistic Director. No refunds will be given for missed rehearsals or removed participation.

Advance Notice of Absence: If your dancer must miss a rehearsal, notify the FDS office as early as possible. Advance notice allows instructors to plan accordingly and maintain performance readiness.

Ongoing Communication: It is the family’s responsibility to maintain accurate contact information and stay in regular communication with the FDS office to receive all rehearsal updates and changes.

Privacy and Health Policies

 

 

ACCIDENT AND LIABILITY RELEASE 

I hereby fully waive, release, and discharge Fantasy Dance School (FDS), including its owners, directors, employees, volunteers, and representatives, from any and all liability, claims, or demands for personal injury, illness, property loss, or damage that may arise from participation by myself and/or the student(s) registered under my account in any FDS-related activity or event.

I certify that the student(s) listed on my account are in good physical health and able to safely participate in all program offerings, including but not limited to: dance classes, gymnastics and TNT (Tumbling & Trampoline) classes, rehearsals, recitals, performances, intensives, camps, private lessons, competitions, conventions, and all programs and related activities.

I further agree to indemnify and hold harmless Fantasy Dance School, its affiliates, and representatives from any and all claims or liabilities, including those arising from injuries, illnesses (including but not limited to COVID-19), pandemics, accidents, or acts of nature, regardless of fault or negligence.

I acknowledge that participation in physical activities involves inherent risks, and I voluntarily accept full responsibility for those risks. This release shall be interpreted to the fullest extent allowed by applicable law. By signing, I affirm that I have read, understood, and agreed to the terms of this release willingly and without reservation.

MEDICAL RELEASE 

I hereby authorize Fantasy Dance School to seek and obtain emergency medical treatment for my child(ren) in the event of injury, illness, or other medical emergencies when I cannot be immediately contacted.

I understand and accept full responsibility for any medical expenses incurred and agree to maintain personal medical/accident insurance coverage throughout my child’s enrollment at FDS.

MEDIA RELEASE

I grant permission for Fantasy Dance School to photograph and/or video my child(ren) for use in studio-approved materials, including but not limited to: promotional brochures, printed advertisements, digital content, and official social media platforms.

Additionally, I authorize FDS to contact me via the email and phone number listed under “Parent 1” on my account for important studio communications, such as class cancellations, emergency updates, or scheduling notices.
Personal contact information will not be used for marketing or sales purposes.

Financial Policies

2025–2026 School Year

All fees and payments are non-refundable and non-transferable.

FEES DUE UPON REGISTRATION (ANNUAL)

Registration Fee:

  • $75 per student

  • $125 per family

This annual, non-refundable fee covers administrative costs, insurance, and may also serve as a waiting list fee. It is required once per school year, regardless of how many programs the student enrolls in.

All registration is completed online, and a valid credit card must be on file before enrollment is confirmed.



TUITION OVERVIEW 

  • Tuition is calculated on a yearly basis and covers only weeks when classes are in session. Breaks and holidays (e.g., Thanksgiving, Winter Break, Spring Break) are excluded from the tuition total.

  • The annual tuition is divided into 11 equal monthly payments, billed September through July, regardless of how many classes fall in each month. This ensures predictable, consistent billing.

  • August tuition is prorated, as the school year begins mid-month.

Multi-Class Discount: Enroll in multiple classes and enjoy a reduced per-class rate; the more classes you take, the more you save.

 

TUITION POLICY

To ensure a smooth and consistent experience for all families, please review our current tuition policy:

Monthly Payments:

  • Tuition is due on the 1st of each month and is considered past due after the 3rd.

  • If payment is not received by the 3rd, the card on file will be automatically charged to avoid disruption in enrollment.

  • Invoices are not sent monthly. Families will only receive an invoice if there is an outstanding balance on their account.

Missed Classes & Absences:

  • Tuition is non-refundable and will not be prorated for missed classes, holidays, or studio closures.

  • Make-up classes may be offered if space permits, but are not guaranteed.

Holding Your Child’s Spot:

  • If your child takes time off, their spot in class cannot be held without continued tuition payment.

  • Unpaid spots may be offered to students on the waitlist, and re-enrollment is not guaranteed unless tuition is current and space is still available.



ADDITIONAL YEARLY FEES FOR ALL DANCE CLASSES

PERFORMANCE FEE:

$150 per family, due with October 2025 tuition

The 2025–2026 Annual Performance Fee covers:

  • All professional pictures of the performance

  • A digital video of the end-of-the-year show (will be made and distributed approximately one month after the concert)

  • Labor and rental costs associated with stage cue programming

  • Stage rental for dress rehearsal

  • Stage rental for the concert performance

  • Stage insurance

Please Note:

  • 2–3 weeks prior to the concert, we hold mandatory extra rehearsal hours, which are covered under June tuition.

  • All dance classes after the concert (for the final 2 weeks of June) will be complimentary and are offered only to students participating in the concert, as a thank-you for their dedication and effort.

COSTUME FEE:

Due January 10, 2026

  • New costumes: $85–$120 each

  • Used costumes: $45–$85 each

  • Handmade folk costumes: $45 usage fee (returnable after performance season)



CREDIT CARD ON ACCOUNT

  • All accounts must maintain an active credit card on file.

  • Payments will be charged on the 1st of each month, unless tuition is paid in advance by cash, check, or Zelle.

  • Accepted cards: Visa, Mastercard, Discover (2.89% surcharge applies).​

  • Zelle payments can be sent to info@fantasydance.us (Fantasy Dance School LLC).

LATE PAYMENT POLICY

  • Payments not received by the 3rd of the month are considered late.

  • A $35 late fee will be automatically applied on the 4th to any unpaid accounts.

  • The credit card on file will be charged for both the tuition and the late fee unless payment is received beforehand.

PAYMENT BEHAVIOR

  • All registration fees must be paid online using a valid Visa, Mastercard, or Discover card (2.89% surcharge).

  • Autopay is available and recommended for convenience. Families cannot remove themselves from autopay; please contact the office to make changes.

  • Payments may also be made via cash, check, or Zelle. You may log in to your account at any time to make early or partial payments.



LATE PICK-UP FEES

  • A $15 fee applies if a student is picked up more than 15 minutes after their last class.

  • An additional $5 fee will be added for every 5 minutes thereafter.

 

NON-SUFFICIENT FUNDS FEE (NSF)

  • A $35 NSF fee will apply to all returned checks or declined credit card payments.

  • Students may not continue attending classes until all balances are cleared and payment is updated.



REFUNDS

There are no refunds for:

  • Registration Fees

  • Tuition

  • Costume Fees

  • Performance Fees

This policy applies regardless of illness, vacation, withdrawal, or missed classes.

Tuition Calculation Policy Explanation

At Fantasy Dance School, tuition is calculated on a yearly basis and offered as a comprehensive package, covering only the weeks when classes and programs are actively in session. Scheduled breaks and holiday closures — including Thanksgiving, Winter Break, Spring Break, and other calendar holidays — are excluded from the tuition total, ensuring families are not charged for weeks when the school is closed.

To make tuition simple, consistent, and budget-friendly, the total annual cost is divided into 11 equal monthly payments, billed from September through July. This approach provides fair and predictable pricing — families pay only for instructional time while avoiding fluctuating monthly fees.

In addition, our tuition follows a package-based structure, meaning the more classes a student enrolls in, the lower the cost per class.

Please note: August tuition is prorated, as the school year begins in mid-August. Tuition for this month is adjusted to reflect the shortened start period.

Fantasy Dance School Parent/Guardian Access Policy

 

STRICT NO ACCESS BEYOND RECEPTION

Parents, guardians, and visitors are strictly prohibited from entering beyond the reception area at Fantasy Dance School. This policy is non-negotiable and will be enforced at all times.

Key Rules:

  • Only students and staff are allowed in hallways and instructional spaces.

  • Parents must remain in the reception area during all class times and rehearsals.

  • Observation is only allowed on pre-scheduled observation days.

 

No Exceptions:

Access beyond the reception area is only permitted for emergencies or with explicit prior authorization from the administration. Violators will be asked to leave the premises immediately.

Policy Details

1. Restricted Areas: 

  • Access beyond the reception area, including hallways and instructional spaces, is prohibited without prior authorization.

2. Designated Waiting Areas:

  • Parents and guardians must remain in the reception area while classes are in session.

  • Observation opportunities will be provided only on pre-announced dates.

3. Policy Enforcement:

  • Clear signage will indicate restricted areas.

  • Staff are authorized to enforce this policy and will remind individuals of the rules as needed.

  • Non-compliance may result in removal from the premises.

 

Rationale

  • Safety: Ensures a secure student environment, complies with local fire and safety regulations (such as maintaining clear evacuation routes as required by fire codes), adheres to child safety guidelines mandated by state laws, and reduces risks of unauthorized access to instructional spaces.

  • Focus: Reduces distractions, fosters a professional and disciplined learning atmosphere, and ensures students can fully concentrate without unnecessary interruptions. This aligns with best practices in educational settings to maximize learning outcomes.

  • Space Management: Keeps hallways and instructional areas clear for students and staff, prevents overcrowding that could violate occupancy limits outlined in municipal building codes, and ensures compliance with ADA (Americans with Disabilities Act) guidelines by keeping pathways accessible.

  • Liability and Compliance: Protects the school’s liability by limiting access to areas covered under specific insurance policies. Unrestricted access by unauthorized individuals can lead to increased risks and potential violations of legal agreements with insurers.

  • Health Regulations: Helps maintain hygienic and safe conditions within instructional spaces, particularly in line with public health regulations that require controlled access to minimize exposure to illnesses or contaminants.

  • Privacy: Protects the privacy and dignity of students during their classes, in line with ethical guidelines and state child privacy laws. Restricted access ensures that instructional activities are not disrupted by unnecessary observation or interaction.

Exceptions

Access beyond the reception area is permitted only with prior approval for:

  • Emergencies

  • Scheduled meetings with staff

  • Assisting students with special needs​​
