Fantasy Dance School Policy
Administrative and Academic Policies
At Fantasy Dance School (FDS), we are committed to providing a safe, organized, and positive learning environment where every student has the opportunity to grow both artistically and personally. These Administrative and Academic Policies establish clear expectations for students and families, promote consistent instruction, and help ensure fairness, safety, and effective communication throughout the school year.
Enrollment at Fantasy Dance School constitutes acknowledgment and acceptance of the following policies.
School Communication
Fantasy Dance School communicates primarily through email. Families are responsible for maintaining current contact information and ensuring that info@fantasydance.us is added to their safe sender list so they receive important announcements, schedules, invoices, recital information, billing notices, and other school communications.
Additional updates may also be shared through the Fantasy Dance School website and official social media platforms. It is each family's responsibility to stay informed by promptly reviewing all communications.
Class Placement
Students are placed in classes based on age, experience, technical ability, physical readiness, maturity, and instructor recommendation.
Students with previous dance or gymnastics experience who are unsure of their appropriate level are encouraged to schedule a trial class or placement evaluation before enrolling.
Fantasy Dance School reserves the right to transfer a student to another class if instructors determine that a different level is more appropriate for the student's progress, safety, or overall success.
Placement in Fantasy Dance Troupe (FDT) and Elite Competition Teams is determined solely through auditions and instructor evaluations.
Class Size
To provide quality instruction and individualized attention, Fantasy Dance School limits enrollment in each class whenever possible.
Average Class Sizes

Dance (Ages 3–5): Approximately 8 students

Dance (Ages 6+): Approximately 12 students

Gymnastics & TNT: Approximately 8 students
Classes generally require a minimum enrollment of six students to remain on the schedule. Fantasy Dance School reserves the right to combine, reschedule, relocate, or cancel classes that do not meet minimum enrollment requirements.
Attendance Policy
Consistent attendance is essential for proper skill development, technical progression, and classroom success.
Families should notify the FDS office as soon as possible whenever a student will be absent by emailing info@fantasydance.us.
Please note:

Tuition reserves a student's place in class and continues regardless of attendance.

Tuition continues until the student has been officially withdrawn in accordance with the Withdrawal Policy.

Failure to maintain tuition payments without submitting a proper written withdrawal notice may result in forfeiture of the student's class placement.

Students returning during the same school year after an official withdrawal are not required to pay an additional annual registration fee.
Late Arrivals
Students arriving more than 15 minutes after the scheduled start of class may not be permitted to participate due to safety concerns and disruption to instruction.
At the instructor's discretion, late students may be asked to observe the remainder of class instead of participating.
Extended Medical Absences
Students who are absent for more than two consecutive weeks due to illness or injury may be required to provide written medical clearance before returning to class.
Fantasy Dance School reserves the right to determine whether a student's return is appropriate based on the student's safety and ability to participate.
Participation Expectations
Students are expected to attend classes regularly, arrive on time, participate respectfully, and demonstrate appropriate classroom behavior.
Excessive absences, repeated tardiness, disruptive behavior, or failure to participate may affect:

Fantasy Dance School reserves the right to determine participation eligibility based on the student's overall preparedness, attendance, and conduct.
Student Observation Policy
Fantasy Dance School is committed to maintaining a focused and distraction-free learning environment.
Students may be required to observe rather than participate when:

Arriving more than 15 minutes late

Recovering from an illness or injury
-
Participation would create a safety concern
-
Classroom behavior does not meet studio expectations
-
An instructor determines observation would better support the student's learning
Observation remains part of the educational process. Students who are observing class are expected to remain attentive, respectful, and engaged throughout the lesson.
Make-Up Classes
Fantasy Dance School offers recreational students the opportunity to make up eligible missed classes under the following guidelines:

Up to four (4) make-up classes may be scheduled each month.

All make-up classes must be arranged through the FDS office.
-
Make-up classes are subject to class availability.

Fantasy Dance Troupe (FDT), Elite Competition Team rehearsals, private lessons, camps, workshops, and special events are not eligible for make-up classes.
Additional make-up limitations are outlined in the Financial Policy.
Class Changes
Fantasy Dance School reserves the right to:

Adjust class schedules
-
Change instructors
-
Modify class times
-
Combine or divide classes
-
Relocate classes within the facility
-
Cancel classes due to insufficient enrollment
-
Transition classes to virtual instruction when necessary because of weather, facility issues, instructor availability, public health concerns, or other circumstances beyond the school's control
Whenever reasonably possible, families will receive advance notice of schedule changes and, when available, alternative options.
Performance & Rehearsal Policy
Students participating in recitals, showcases, competitions, demonstrations, or other performances are expected to attend all required rehearsals.
Families are responsible for reviewing rehearsal schedules and all performance communications distributed by Fantasy Dance School.
Students who miss required rehearsals, demonstrate insufficient preparation, or whose participation may negatively affect choreography, safety, or the overall quality of the performance may be removed from the performance at the discretion of the Artistic Director.
No refunds, credits, or fee reductions will be provided for missed rehearsals, missed performances, or removal from a performance.
School Withdrawal
Fantasy Dance School does not automatically withdraw students from classes.
Families wishing to withdraw must submit written notice by emailing info@fantasydance.us no later than the 25th day of the current month to avoid tuition charges for the following month.
Tuition continues until proper written notice has been received and processed.
Financial obligations, including tuition, registration fees, costume fees, performance fees, and all other charges, remain subject to the Financial Policy.
Policy Updates
Fantasy Dance School reserves the right to revise, amend, interpret, or update these policies at any time as necessary to support school operations, comply with applicable laws, or improve the educational experience.
Updated policies become effective upon publication on the Fantasy Dance School website, distribution through official school communications, or posting within the Parent Portal.

Privacy and Health Policies
Release, Waiver, Medical, Privacy & Media Policy
To provide a safe and positive learning environment, all students and families are required to acknowledge Fantasy Dance School's Release, Waiver of Liability, Medical Authorization, Privacy, Media, and Communication Policy as part of the enrollment process.
By enrolling in any Fantasy Dance School program, parents and guardians acknowledge the inherent risks associated with physical activities such as dance, gymnastics, acrobatics, and related programs, and agree to the terms of the liability waiver and assumption of risk to the fullest extent permitted by law.
Parents also authorize Fantasy Dance School to obtain emergency medical treatment for their child, if necessary, and understand that they are responsible for maintaining personal medical insurance and covering any related medical expenses.
Fantasy Dance School is committed to protecting the privacy of our students and families. Personal information collected during registration is used solely for school administration, emergency contact, billing, and other legitimate operational purposes. We do not sell or share personal information for marketing purposes.
By enrolling, families also grant permission for Fantasy Dance School to use photographs and video recordings taken during classes, rehearsals, performances, camps, and events for educational, promotional, and marketing purposes unless otherwise required by law.
Families consent to receive important school communications by email, phone, and text message regarding schedules, emergencies, performances, billing, registration, and other studio-related matters.
Fantasy Dance School reserves the right to update this policy as needed to comply with applicable laws and to support the safety, privacy, and well-being of our students and community.
The complete Release, Waiver, Medical, Privacy & Media Agreement is acknowledged electronically during registration through the Jackrabbit Parent Portal.
Financial Policy
Fantasy Dance School is committed to providing clear, consistent, and transparent billing practices. Please review the following financial policies before enrolling.
Registration Fees
An annual, non-refundable registration fee is required each school year.

$150 per family
Registration is not complete until all required fees are paid and a valid credit card is on file.
Tuition
Tuition is calculated based on the total instructional weeks of the school year and is divided into 11 equal monthly payments (September through July) for consistent monthly billing.

Tuition is due on the 1st of each month.

August tuition is prorated because the school year begins in mid-August.
-
Tuition remains the same each month regardless of the number of classes scheduled.

Multi-class discounts are automatically applied.
Payment Policy
An active credit card must remain on file for all accounts.
Payments not received by the 3rd of the month may be automatically charged to the card on file.

A 2.89% processing fee applies to credit card transactions.
Late Payments
Payments received after the 3rd of the month are considered late.

A $45 late fee may be assessed.

Students with overdue balances may be suspended from classes until their account is brought current.
Withdrawal Policy
Fantasy Dance School does not automatically withdraw students from classes.
Written notice must be received by the 25th of the month to stop tuition for the following month. Students remain financially responsible until written notice is received.
Refund Policy
All registration fees, tuition, performance fees, costume fees, camps, workshops, private lessons, and special event fees are non-refundable and non-transferable.
No refunds or credits are provided for missed classes, illness, vacations, injuries, voluntary withdrawal, or schedule conflicts.
Missed Classes & Make-Ups
Tuition is not prorated for missed classes.
When space permits, make-up classes may be available.
Make-up classes must be completed within 30 days of the missed class and cannot be transferred, exchanged, or redeemed for cash or account credit.
Weather & Emergency Closures
Tuition is not refunded for closures caused by severe weather, power outages, natural disasters, public health emergencies, or other circumstances beyond the school's control. When possible, Fantasy Dance School may offer virtual instruction or make-up classes at its discretion.
Performance & Costume Fees
All students enrolled in dance classes are automatically considered participants in Fantasy Dance School's Annual End-of-the-Year Performance. Performing in the annual concert is an integral part of our dance program, providing students with valuable stage experience and the opportunity to showcase the skills they have developed throughout the year.
As a result, the following fees are automatically applied to all dance students:

Annual Performance Fee: $175 per family (due with October tuition)

Costume Fees: Due each January and vary by class and costume type.
Families who choose not to have their student participate in the Annual Performance must notify the school in writing before Performance Fees and Costume Fees are posted to their account. If written notice is not received before the applicable deadlines, the fees will remain on the account.
All Performance Fees and Costume Fees are non-refundable and non-transferable once posted to the student's account or paid, regardless of withdrawal from the performance, withdrawal from classes, illness, injury, schedule conflicts, or any other reason.
Performance Fee covers professional performance photography, a digital concert video, stage rental, dress rehearsal, stage insurance, and technical production costs. Costume Fees vary by class and costume selection and are announced each school year.
Late Pick-Up
Students picked up more than 15 minutes after their final scheduled class will incur a $15 late fee, plus $5 for every additional five minutes.
Collections
Accounts that become seriously past due may be referred to a collection agency or legal counsel. Families are responsible for any collection costs, attorney's fees, court costs, or other expenses permitted by law.

Parent Access Policy
At Fantasy Dance School, the safety, privacy, and success of our students are our highest priorities. To provide a safe, secure, and distraction-free learning environment, parents, guardians, family members, and visitors are not permitted beyond the reception area during classes, rehearsals, or other instructional activities.
All parents and visitors must remain in the reception area while students are participating in classes. Only enrolled students and authorized Fantasy Dance School staff are permitted in hallways, dance studios, gymnastics areas, classrooms, and other instructional spaces.
For the safety of all students, parents may not accompany students to or from their classrooms. Our staff will assist younger students as needed and ensure they are safely dismissed at the conclusion of class. We kindly ask families to wait in the reception area until their student has been dismissed by their instructor.
Class observation is available only during scheduled Observation Weeks or when specifically invited by Fantasy Dance School. This allows students to remain focused while providing instructors with the best environment for quality teaching.
Exceptions to this policy may be made only for emergencies, scheduled meetings with school staff, or approved accommodations for students with special needs.
